Alpha5 Privacy Policy

  1. About Alpha5

Alpha5 is an internal business operations application operated by YQG Electric Inc. This Privacy Policy explains how Alpha5 collects, uses, stores, and protects information, including information obtained through an authorized connection to QuickBooks Online.

2. Information We Process

Depending on the features being used, Alpha5 may process:

• QuickBooks company information and accounting records, including customers, invoices, sales transactions, transaction dates, purchase-order or job identifiers, line items, amounts, taxes, and payment information.

• Authorization information needed to maintain the QuickBooks connection, including the connected company identifier and encrypted OAuth access and refresh tokens.

• Business-operational information, including job records, receipts, material costs, employee time and labour information, project status, and information entered by authorized users.

• Limited technical information, such as application logs, timestamps, error details, and security events needed to operate and protect Alpha5.

Alpha5 accesses only information authorized by the connected QuickBooks administrator and permitted through the approved QuickBooks API scope.

3. How We Use Information

Alpha5 uses this information to:

• Match QuickBooks invoices or sales transactions to YQG Electric jobs and purchase-order numbers.

• Calculate job revenue before applicable sales taxes.

• Combine revenue with material and labour information for internal job-costing and profitability reporting.

• Maintain accurate business records and provide information to authorized YQG Electric personnel.

• Operate, secure, troubleshoot, maintain, and improve the application.

Alpha5 does not sell or rent personal information or QuickBooks data. Alpha5 does not use QuickBooks data for advertising or unrelated marketing.

4. Disclosure of Information

Information is accessible only to authorized personnel and service providers who require it to operate or support Alpha5. Information may also be disclosed when required by law or when reasonably necessary to protect the security, rights, or property of YQG Electric Inc., its customers, employees, or other individuals.

Service providers are expected to process information only for the services they provide and to apply appropriate privacy and security safeguards.

5. Data Security

YQG Electric Inc. uses reasonable administrative and technical safeguards appropriate to the sensitivity of the information. These measures include access controls, encrypted QuickBooks authorization tokens, secure network connections, restricted system access, backups, monitoring, and operational logging.

No electronic system can be guaranteed to be completely secure. YQG Electric Inc. reviews its safeguards and responds to suspected unauthorized access or disclosure as appropriate.

6. Data Retention

Information is retained only for as long as reasonably necessary for the purposes described in this policy, to maintain business and accounting records, to meet legal obligations, and to resolve security or operational issues.

QuickBooks authorization information is retained while the connection remains authorized. The connection can be disconnected and its authorization revoked. Information that is no longer required will be deleted, securely disposed of, or anonymized when reasonably practical, subject to legal, accounting, and backup-retention requirements.

7. Access and Correction

Individuals may ask whether YQG Electric Inc. holds their personal information and may request access to or correction of that information, subject to applicable legal limitations. We may need to verify the requester’s identity before completing a request.

8. QuickBooks Connection and Disconnection

An authorized QuickBooks administrator must approve Alpha5’s connection through Intuit’s authorization process. The administrator may disconnect Alpha5 or revoke its access through the applicable Intuit or QuickBooks account settings.

Disconnecting prevents Alpha5 from obtaining new QuickBooks information. Information previously retained for legitimate business, accounting, security, or legal purposes may remain subject to this policy and applicable retention requirements.

QuickBooks and Intuit are trademarks and services of Intuit Inc. Intuit’s handling of information is governed by Intuit’s own privacy policies and terms.

9. Changes to This Policy

This policy may be updated when Alpha5’s features, information practices, legal obligations, or connected services change. The revised policy will be posted on this page with an updated effective date.
